Approvals inbox

Approvals is the manager inbox in the learner app — *"Confirm proofs and ops forms. Fast decisions — credentials only when evidence holds."*

Permissions

The Approvals nav item is always visible, but acting requires permission:

• Reviewing proofs requires Review proofs (proof:review). Without it you will see No proof review access.
• Approving forms requires Approve forms (forms:approve). Without it you will see No form approval access.

Ask an admin to grant these under Admin → Roles & access. The built-in Manager role includes both.

Proofs

Each queued proof shows the gate title, who submitted it, the capability, and an AI {score} badge with a short automated summary when automatic scoring ran. Open the attached evidence (Open evidence file / Open attached media), then decide:

• Confirm pass — accepts the submission; the learner's proof step completes and any dependent program step unlocks.
• Send back — returns it for another attempt with the note *"Retry with a clearer demonstration."* The learner sees the note on their proof page and can resubmit.

Empty queue: Proof queue clear — *"No proofs waiting on you."*

If media shows Media unavailable, the file may still be uploading or storage was interrupted — ask the learner to resubmit.

Forms

Submitted forms appear with the full submission content. Choose:

• Approve — completes the learner's task.
• Reject — reopens the form for the learner with the note *"Please correct and resubmit."*

Empty queue: Form queue clear — *"No submitted forms waiting."*

Forms only reach this queue when the form template requires approval. Forms without approval complete immediately on submission and never appear here.

Location scope

If your role is scoped to specific locations, you can only act on people at those locations — actions outside your scope return Outside location scope.
