People and invites
Invite members, set roles and locations, activate or disable access.
Open Admin → People on app.mentorhq.com. Viewing people requires View people (people:read); inviting and editing requires Manage people (people:write).
Invite someone
- In the Invite person panel, enter their Email (required).
- Optionally add a Name (up to 120 characters).
- Pick a Role — defaults to Learner. See Roles and access for what each role can do.
- Optionally pick a Location — this becomes their default location for assignments and reporting.
- Choose Send invite.
The member appears in the list with an invited badge. Invited members do not consume a seat until they activate — see Seats and plan usage.
What the invite email says
The invite email subject is You're invited to {your organization}. The body reads *"{Inviter} invited you to join {organization} as {role}."* with a Sign in button that takes them straight into the app, and the note *"If you weren't expecting this, you can ignore this email."* The email carries your branding — logo, primary color, from-name, and footer — see Email branding.
The invitee just signs in with the invited email address; there is no separate acceptance step. After their first sign-in, their status changes to active.
Manage a member
Select a member to open their panel:
- Roles — tick the roles they should hold, then Save roles (a member must keep at least one role). You will see Roles updated.
- Default location — pick from your locations or None; confirms with Location updated.
- Activate / Disable / Re-enable — control access without deleting history. Disabled members cannot sign in to the workspace; re-enabling restores everything.
Statuses

Errors you might see
- Seat limit reached ({n}). Upgrade plan or request grace seats. — your plan's active-seat cap is full; disable someone or contact Mentor about seats.
- Invite failed — check the email address format and try again.
