Studio documents

Versioned controlled documents with acknowledgement tracking.

Studio → Documents — *"Controlled policies with versioning and acknowledgement coverage — not a shared drive dump."* Creating requires Edit content (content:write); publishing requires Publish content (content:publish).

Create a document

  1. Choose New document to open the composer.
  2. Enter a Title (for example *Employee Handbook*, up to 200 characters).
  3. Pick the Acknowledgement method:
  • Checkbox — learners tick *"I have read and understand this document"*
  • E-sign — learners type their full name
  • Comprehension quiz — learners answer questions; all must be correct
  1. Write the Body, then choose Create draft.

The page's pulse shows Total, Published, and Drafts counts, with All / Published / Drafts filters and search.

Publish and assign

Open the document. Drafts show a Ready to publish? panel — *"Drafts aren't visible to learners until you publish. Then assign for acknowledgement."* Choose Publish, then Assign for acknowledgement to send it by role and location.

Coverage

Once assigned, the document page tracks coverage: {acknowledged}/{total} acknowledged ({percent}%) on v{n}, with a per-person list. Coverage viewing requires the View reports permission.

New versions

Policies change. Choose New version to open the supersede panel — *"Creates v{n+1}, publishes it, and forces re-acknowledgement on active assignments."*:

  1. Enter a Change summary (up to 500 characters) — this is your audit trail.
  2. Paste the Updated body.
  3. Choose Publish v{n+1} + force re-ack.

Everyone with an active assignment is reset to Needs your confirmation and must acknowledge the new version. Version history on the page lists every version with the current one badged.
